Creating a Chart of Accounts Constraint

To set up constraints:

  1. Select Administration > Chart of Accounts > Constraints.

  2. Click Add New Constraint.

  3. From the Type list, select one of the following entities to which the constraint will be applied, then specify a corresponding value.

    Hierarchy

    Sets up a constraint for all transactions, accounts, and employees assigned to the specified hierarchy. Enter the hierarchy ID in the Hierarchy ID field, or click the link and select a hierarchy ID from the displayed list.

    Role

    Sets up a constraint for all users who have the specified access role. Select the role from the Role list.

    Employee

    Sets up a constraint for all accounts assigned to the specified employee. Enter the employee's user ID in the User ID field.

    Account

    Sets up a constraint for all transactions associated with the specified account. Enter the account number in the Account field.

  4. For the Type of Constraint, select one of the following options:

    Include

    Only defined users will have access to the specified values.

    Exclude

    Defined users will not have access to the specified values.

    Read Only

    Defined users will be able to view all values but not select them.

  5. From the Chart of Accounts list, select the chart of accounts for which you want to set up the constraint.

  6. For each segment, select an option from the Accounting Code Value list to specify the segment values to which the constraint will apply. You can choose All, None, or a specific segment value.

  7. Click Save.
