Customizing Your Company Profile

Your company profile provides your company address and contact information and controls whether or not line items will be automatically added to your payables.

You can also specify a custom field to be used as the Buyer Reference, which serves as your company’s primary identifier for payables. If you designate a Buyer Reference field, a value will be automatically assigned when a payable is created in the specified hierarchy and cannot be changed by editing the payable details. You can, however, modify the hierarchy settings and change the custom field that will be used as the Buyer Reference for payables created in the future.

To customize your company profile:

  1. Select Administration > Hierarchy > Settings > Payables.

  2. Enter the hierarchy ID in the Hierarchy ID field, or click the link and select a node from the hierarchy tree.

  3. Click the Profile tab.

  4. Select Override inheritance.

    Note:The Override inheritance check box overrides the settings from the parent hierarchy ID, which is listed in the Inherited from field. This allows you to configure the payable settings differently for the selected hierarchy ID. If this check box is not selected, you will not be able to make any changes on this screen, and the selected hierarchy ID will retain the settings of the parent node.

  5. In the General Information settings, enter your company name, phone number, Tax ID, and complete mailing address.

  6. (Optional) From the Buyer Reference list, select a custom field to be used as your company’s identifier.

  7. By default, line items are not added to payables that are created in PaymentNet. If you want a line item to be created automatically, select Allow Automated Line Items.

    When this setting is enabled, you can also add additional line items and modify or remove existing lines items by editing the payable details. If this setting is not enabled, a line item is not created automatically and you cannot add line items by editing the payable.

  8. In the Primary Contact Visible to Suppliers settings, enter the name, email address, and phone number of the user who will serve as the primary contact for your suppliers. This user’s name will be communicated to your suppliers when they process your payments.

  9. Click Save.
