Matching Transactions to Payables

A transaction is automatically included in a payable if all of the following criteria are true:

Note:If the payable is a single authorization type, a transaction will be automatically included only if there are no other transactions posted to the payable and the transaction amount equals the Payable Total.

All transactions posted against the underlying single-use account are associated with the payable. If any transaction fails the inclusion criteria, it will be marked as excluded and all the reasons it failed will be shown on the Transactions tab of the Payable Details screen. The following table describes the exception status reasons.

Description

Exception - Single Authorization

The payable is a single authorization type and a transaction has already been included.

Exception - Outside Date

The transaction date does not fall between the begin and end dates for the payable.

Exception - Closed

The payable was closed as of the date when the transaction posted.

Exception - Overcharged

The transaction amount exceeds the Overage Tolerance.

You can manually include these transactions in a payable as long as the payable is still open and the total amount of the included transactions does not exceed the Payable Total (with the Fulfillment Tolerance applied, if multiple authorizations are allowed).

If there are payables with transaction matching issues, you can review them individually and decide whether to include or exclude them. PaymentNet will adjust the amount remaining for the payable accordingly.

To match transactions to a payable:

  1. On the Manage Payables tab, click the Review Matching Issues link in the Payables with Transaction Matching Issues pane. The Payable Details screen displays, showing the first payable that has unmatched transactions. A warning indicator identifies the transactions that could not be automatically included.

  2. To include one or more transactions, select them and click Include Transaction. To exclude one or more transactions that were previously included, select them and click Exclude Transaction.

  3. Click Go to Next Payable to display the next payable with matching issues. Repeat steps 2 and 3 until there are no more payables to review.
