Creating an Employee

You can create an employee in PaymentNet manually in the Employees module or through an import. For more information about imports, see Imports.

When you create an employee, you define the employee’s contact information, set a temporary password, and assign a user access role. A user access role is a set of permissions assigned to an employee. For example, if you assign an employee an access role of Transaction Approver, then the employee can view and approve transactions within the assigned hierarchy and scope. For more information about the capabilities of each user role, see Role Fields.

Note:Your organization settings determine when users’ temporary passwords expire. For more information, contact your J.P. Morgan program coordinator or relationship manager.

If your organization uses the Online Account Registration feature, cardholders can register for PaymentNet access themselves. The account registration process creates an employee profile for the cardholder in PaymentNet with standard Card Holder access privileges. As a program administrator, you must create a card account in PaymentNet, but not an employee account, before a cardholder can register online. For more information, see Creating a Card Account.

To create an employee:

  1. Select Employees > Create.

  2. In the User ID field, enter a unique user identification name. The user ID must be between 6 and 20 alphanumeric characters long. No spaces or special characters are allowed.

  3. Enter the hierarchy ID in the Hierarchy ID field, or click the link and select a node from the hierarchy tree.

  4. Complete the fields that display. For a list of these fields, see Employee General Information Fields.

  5. Click Save.

  6. Click the User Access tab.

  7. Set the user’s initial temporary password by completing the following fields:

    Temporary Password

    Enter a new password for the employee.

    The initial temporary password is case-sensitive. It must be exactly eight characters in length and must contain at least one uppercase letter, one lowercase letter, and one numeric character. In addition, the password cannot include three or more repeated numbers or letters (for example, 555 or aaa) or three or more consecutive numbers or letters in ascending order (for example, 123 or xyz). Special characters are allowed but not required.

    Confirm Temporary Password

    Re-enter the temporary password.

    Note:    The Logon Disabled, User Status, and Disable as of fields are not used when creating a new employee.

  8. Set the user’s role, hierarchy, and scope by completing the fields below. The combination of these fields determine what the user can see and do within PaymentNet.

    Role Name

    Enter a unique name for the user role.

    Role

    Select a user role from the list. For example, based on the user role and permission levels, you might select Card Holder, Manager, or Program Administrator. For a list of role options, see Role Fields.

    Hierarchy ID

    Enter the hierarchy ID, or click the link and select a node from the hierarchy tree. The hierarchy ID should correspond to the user role and scope.

    Scope

    Select a value from the list. The value you select determines the user viewing rights for his or her assigned role name, role, and hierarchy. For a list of scope options, see Scope Fields.

    To assign additional roles to the user, click Add and repeat this step as necessary. You can add a maximum of 15 roles to a user ID.

    Note:    If you assign multiple roles to a user, the first role listed on the User Access tab is the default role that will be in effect when the user logs in to PaymentNet. Users can change their default role assignment by modifying their profile; for more information, see Changing Your Default Role.

  9. Click Save.

Note:    If the newly created employee has a Card Holder role, you must link the user ID to a card account. For instructions, see Reassigning an Account.

Employee General Information Fields

Prefix

If applicable, enter a prefix for the user, such as Mr., Mrs., or Ms.

First Name

Enter the user’s first name.

Middle Initial

Enter the user’s middle initial.

Last Name

Enter the user’s last name.

Suffix

If applicable, enter a suffix for the user, such as Jr.

E-mail Address

Enter the user’s email address (maximum 50 characters).

The email address you enter here also displays on the My Profile screen for the employee. For more information about user profiles, see Your Profile.

Note: If you update the email address on the employee’s account, the changes may not be reflected in the employee’s profile. The synchronization of account and employee email addresses is controlled by a configuration setting for the hierarchy. For more information, see Enabling Modules.

cc E-mail Address

If you want to send a copy of user email notifications to additional email addresses, you can enter up to five addresses in this field. Use a comma or semicolon to separate multiple addresses. All notifications are sent to the user’s email address and to the additional addresses.

bcc E-Mail Address

If you want to send a blind carbon copy of user email notifications to additional email addresses, you can enter up to five addresses in this field. Use a comma or semicolon to separate multiple addresses. All notifications are sent to the user’s email address and to the additional addresses.

Business Phone

Enter the user’s business phone number.

Unmask Reports/Exports

Select this check box if you want to give the user the option to view unmasked sensitive data in reports and export files.

Unmask SUA Account Numbers

Select this check box to unmask single-use account and CV2 numbers in PaymentNet and single-use account numbers in export files.

Notes

If applicable, enter any notes. For example, you might want to add notes that describe the user’s role or scope.

Chart Name

To assign transaction defaults to the employee, select a chart of accounts. Then select or enter the segment values using the drop-down lists or text boxes that display.

Custom Fields

If applicable, select or enter any custom field values.

Application Approver

Users with this role can view and approve applications submitted with Account Request Manager but cannot take any other actions in PaymentNet.

Auditor

Users with this role can view all PaymentNet settings, transactions, employees (users), accounts, and Single-Use Account payables (if applicable) within the auditor’s hierarchy and scope. Auditors can also run reports.

Note: As a best practice, users who are assigned an Auditor role should not be assigned any additional roles. This helps prevent scope-of-view issues.

Card Holder

Users with this role can review and edit transactions within the cardholder’s hierarchy and scope.

Custom Roles

Specialized roles created by your organization.

Manager

Users with this role can view and edit all transactions, manage employees (user access), and Single-Use Account payables (if applicable) within their hierarchy and scope.

Order Requestor

For programs using Single-Use Accounts, users with this role can create, view, modify, and manage payables within their hierarchy and scope.

Program Administrator

Users with this role can view and configure all PaymentNet settings, transactions, employees (users), accounts, and Single-Use Account payables (if applicable) within their hierarchy and scope.

Transaction Approver

Users with this role can view, edit, and approve transactions within their hierarchy and scope.
