If the functionality is enabled, you can create a card account using an existing account as a template. This way, you can duplicate account settings, limits, and Merchant Category Code Groups (MCCGs), and make adjustments as necessary. The account template saves time on data entry and promotes standardized card configuration. An account in Purged status cannot be used as a template to create a new account.
A new account is automatically set to expire 36 months after it is created. The account’s expiration date is shown on the card details but cannot be changed.
When you create a card account, you can define settings based on an existing employee profile. For more information about configuring an employee in PaymentNet, see Creating an Employee.
If your organization uses the Online Account Registration feature, cardholders can register for PaymentNet access themselves. The account registration process creates an employee profile for the cardholder in PaymentNet with standard Card Holder access privileges. You must create a card account, but not an employee account, before a cardholder can register online.
Note:If account requests are submitted after business hours, there is a chance the requests will not be processed immediately. This is due to regular maintenance performed by J.P. Morgan partners on their own systems. In this case, it may be up to 24 hours before the account request is updated with an error message, as the system will automatically re-attempt the submission after the maintenance window has been cleared. Please allow up to 24 hours for the Account Request list to update completely before seeking additional assistance.
To create a card account:
Select Accounts > Manage and click the account you want to use as a template. Or, while viewing other information about an account, select Take me to > Account Detail to use the current account as a template.
Click Create New Account. PaymentNet automatically enters the template data in the displayed fields.
If you need to change the inherited hierarchy ID, enter a new ID in the Hierarchy ID field, or click the link and select a new node from the hierarchy tree.
From the Account Holder Type list, select Individual if the card is for an individual or select Department if the card is for a company group or department.
From the Type of Employee list, select one of the following employee types:
New Employee
If the card account is for a new employee who is not currently a PaymentNet user, you can create an account and a new employee profile at the same time. Select this option and enter a unique user ID in the User ID field. The user ID must be between 6 and 20 alphanumeric characters long; no spaces or special characters are allowed.
To automatically generate a temporary password for the user, select Generate Login Information (the user will be prompted to change the password when logging in for the first time).
Note:Selecting this option will also assign to the new user the same user ID and hierarchy ID associated with their account, as well as the Card Holder role and a Self scope of view.
Existing Employee
If the card account is for a current PaymentNet user, you can issue a card to without creating a new user ID for the employee. Select this option and enter the employee’s user ID in the User ID field. You must correctly enter the user ID to ensure the account is assigned to the correct cardholder.
Same Employee
If the card account is for the same employee who is associated with the account template, select this option. The User ID field is automatically completed based on the template account, and the General Information fields are automatically filled out with the employee information.
No Employee
If the card account is for a cardholder who will not be logging in to PaymentNet, and therefore will not need a user ID, select this option.
If the account is for an individual, complete the Account Holder Information fields. For a list of these fields, see Account Holder Information Fields.
Complete the Account Security fields. For a list of these fields, see Account Security Fields.
Complete the Name as It Will Appear on Card fields. For a list of these fields, see Name as It Will Appear on Card Fields.
Complete the Contact Information fields. For a list of these fields, see Contact Information Fields.
Complete the Addresses fields. For a list of these fields, see Address Fields.
In the Notes field, enter additional information as needed (maximum of 2,000 characters).
Complete the Transaction Defaults fields. To assign default accounting codes to the account, click Edit and select a chart of accounts from the Chart Name list. Then select or enter the segment values using the drop-down lists or text boxes that display. If applicable, select or enter values for any Custom Fields.
Click Continue.
When the Application Acknowledgement window displays, select the check box and click Continue to indicate that you have read and accept the Acknowledgement.
Complete the fields that display on the Controls tab. For a list of these fields, see Controls Fields.
Click Continue.
To set permanent limits on the MCC Groups from which the cardholder can make purchases, complete the fields that display on the MCC Group Controls tab. For a list of these fields, see Merchant Category Code Group Controls Fields.
To set temporary spending limits at the account or MCCG level, complete the fields that display on the Temporary Controls tab. For more information, see Applying Temporary Spending Limits.
If rush card delivery is available, select Rush Card Delivery Information if you need to expedite delivery of the card. For more information, see Managing a Rush Card Delivery.
Click Save.
Note: To validate account creation, go to the Account List screen and perform a Quick Query for the name of the account holder. If the Account Request Status column shows Pending, the account was created successfully. If the status shows Failed or Partial Complete, refer to the Account Request List screen to view and resolve the issues. See Working with Account Requests for more information. Manage MCC Groups |
To associate a Merchant Category Code Group (MCCG) with the card account, select an MCCG from the Group list and select an action from the Group Action list. To allow transactions with the MCC Group, select Include. The cardholder will be allowed to make purchases only from the MCC Groups that are set to Include. To prohibit transactions with the MCC Group, select Exclude. The cardholder will not be allowed to make purchases from any of the MCC Groups that are set to Exclude. Note: It is not advisable to combine include and exclude actions for MCC Groups on the same account. To allow or prohibit additional MCC Groups, click Add and specify the MCCG and the action. You can add up to nine MCC Groups to an account. To remove an MCC Group, click the corresponding Delete button. |
Credit Limit |
Enter the account holder’s credit limit. The credit limit cannot exceed the total spend limit set for the overall card program. Note: If you change the credit limit, you must re-enter the cash advance amount in the Cash Advance Limit field (up to $2500). |

Refresh Period |
Use these options to indicate when you want the Amount Limit and Transaction Limit for an account to be refreshed. Select Cycle to refresh these limits after each card billing cycle, or select Monthly to refresh these limits at the end of each calendar month.
