Creating Out-of-Pocket Transactions

Note:    The option to allow out-of-pocket transactions must be enabled for your organization.

Cardholders can create out-of-pocket transactions to record two types of expenses:

Cash and mileage transactions must be associated with a card account so that they can be shown on the Transaction List screen and included in query results. On the Transaction List screen, you can run the Out of Pocket/Mileage system query to see all the out-of-pocket transactions that have been saved in the past 7 days. For more information, see Performing a System Query for Transactions.

The same features that can be used with card transactions also apply to out-of-pocket transactions. For example, you can attach receipts and specify accounting codes, transaction custom fields, and notes. If a workflow approval process is configured for the hierarchy, your out-of-pocket transactions will also require approval just as your card transactions do. In addition, these transactions can be exported and included in reports.

Out-of-pocket transactions created in PaymentNet can also be included in mappers and exported to an ERP system, allowing card and non-card transactions to be managed from the same platform.
