Note: The option to allow out-of-pocket transactions must be enabled at the organization level. PaymentNet does not provide a reimbursement method for out-of-pocket expenses. Instead, you can extract the data for your cardholders' out-of-pocket transactions and use it to follow your current reimbursement process.
Using the Out-of-Pocket Transactions functionality, cardholders can create transactions in PaymentNet to record two types of expenses for which they will be reimbursed:
Expenses paid in cash or with their personal credit card
Mileage expense for business travel
The same features that can be used with card transactions also apply to out-of-pocket transactions. For example, if you have configured a workflow approval process, out-of-pocket transactions will require approval just as card transactions do. In addition, cardholders can specify accounting codes, transaction custom fields, and notes for out-of-pocket transactions, and also attach receipts to cash transactions. (The functionality to support approval workflow and allocations is not available in PaymentNet Mobile.)
New transaction fields and new values for existing fields that are being added to accommodate out-of-pocket transactions are available to include in template-based reports and advanced queries. Out-of-pocket transactions created in PaymentNet can also be included in mappers and exported to your ERP system, allowing you to manage card and non-card transactions from the same platform.
